​​​​​​ERASMUS+ STUDENT MOBILITY FOR STUDIES

​​​How to Apply
If you would like to apply to İstanbul Şehir University as an Erasmus+ student, your home university should have an active Erasmus+ Inter-institutional Agreement in the relevant field of study at ŞEHİR. Please check our partners at Global Partners and Network section. If two institutions have an agreement, then you need to be nominated by your home university to study at ŞEHİR for one semester or one academic year. If not, International Relations Office at your home university can send us a collaboration proposal within the Erasmus+ Exchange Programme.

After nomination e-mail from your Home University, you are required to submit your online application form through https://incoming.sehir.edu.tr/ 

Along with your online application form, you should submit the following documents as well: 
  • Official transcript (English & with university stamp)
  • A document that shows an English proficiency of min. B1 level. (This document can be an internationally recognized exam result or a statement issued by the home university.)
  • Learning Agreement approved by the Erasmus Coordinator at the home university (the students can have an idea about the possible course offerings from the general course catalogue under which all the departments are listed. 
  • Copy of passport info pages
  • CV
  • One passport sized photo in jpg format

Once you've submitted your application through online system and have been accepted, ŞEHİR International Relations Office will send you an acceptance letter and explain the next steps for your Erasmus+ mobility.

Please kindly note that as an Erasmus+ student, you have the right to apply for ŞEHİR dormitories. If you wish to stay at the ŞEHİR dormitories, please consult the Campus Life and İstanbul section. 

​​​Before the Mobility
Before the mobility period, participants should follow the steps listed below and submit the necessary documents to the International Relations Office. Please be aware that a majority of this paperwork will require a signature and stamp from a relevant departmental or institutional coordinator either at your home university or at ŞEHİR. Therefore, it is important that you allow yourself the appropriate time to complete the paperwork. (Please click the title of the document to download it): 
  • Learning Agreement for Studies: The Learning Agreement for studies (LA) is a document that indicates the precise courses that the student will be studying and needs to be approved by the student, the sending and the receiving institution. 
  • Student Visa: You should apply to student visa as soon as you get your acceptance from ŞEHİR. Once you get your visa, please don’t forget to send a copy of it to ŞEHİR International Relations Office. 
  • Student Health Insurance:  Your Health Insurance should cover the below criteria:

* Non-Contracted Institutions: Institutions (hospitals, physicians’ offices, and the other health institutions.) do not have an agreement with the insurer. 
IMPORTANT NOTE: Students who will come from Germany or Czechia can use their SGK Health Insurance by getting approved TR/AT 11 (for Germany) and TR/CZ 111 (for Czechia) documents from official health center in their countries. In order to use these documents, you will need to get approval from Social Security Institution (SGK) in Turkey as well.

​​​During the Mobility
After your arrival to ŞEHİR, you will receive an e-mail from ŞEHİR International Relations Office about your university registration. In order to complete your online registration to ŞEHİR, you will need to fill the Student Identification Form. By filling this form, you will create your ŞEHİR Student Account and will be able to select your courses on the online Learning Management System (LMS).

Prior to every semester, ŞEHİR International Relations Office organizes orientation week for new Erasmus+ and Exchange Students to give them essential information regarding registration and campus life. 

During your first week at ŞEHİR, you will be able to select your courses on the online system and you will have the right to make some changes on your Learning Agreement. If you wish to change some of your courses, please note that you should do it within 4 weeks after your arrival to ŞEHİR. In order to add/drop your courses, please fill the During the Mobility Section of Learning Agreement​ and get approval from your departmental coordinators at ŞEHİR and at your home university. 

During your stay at ŞEHİR, you will be required to apply for Residence Permit. All the exchange students are required to apply for a residence permit within one month following their arrival in Turkey. Please note that it is the students’ responsibility to obtain the document. The International Relations Office will assist international students during this process. 

You can submit your online application for residence permit through https://e-ikamet.goc.gov.tr/. Please collect the following documents before your appointment date: 
  • ​Print-out of online appointment
  • Health Insurance Provision Document
  • Four passport-size photos
  • Passport
  • Photocopies of the following pages of passport:
        • ​​​The page bearing the applicant’s photo
        • The page stamped at the last entry
        • The page indicating the expiry date of the passport
        • The student visa page (if student entered Turkey with e-visa, bring the copy of e-visa). ​
  • Student Certificate (in Turkish – provided by the Student Affairs Office for the residence permit purposes) 
  • Residence Permit Card Fee Receipt: to be paid online or to a Tax Office.

​​​After the Mobility
​End of your mobility period at ŞEHİR, please collect/submit the following documents from/to ŞEHİR International Relations Office: 
  • After the Mobility Section of Learning Agreement (please click the name of the document to download it)signed and stamped by the host institution.
  • Transcript of Records: This document lists all the grades and courses taken during your Erasmus+ stay at ŞEHİR. In case you do not need any ECTS or grade for your courses but only a confirmation of attendance, please inform the ŞEHİR International Relations Office at the beginning of the semester. The official transcript of records will be collected by ŞEHİR International Relations Office and sent to you and to the International Office at your home university after your departure. But you will be able to see your announced grades at your LMS system. If you need the hard copy of your official transcript of records, please contact us through erasmus@sehir.edu.tr
  • Confirmation of Stay: If you would like to use your home university’s format, please print and bring it to the International Relations Office. We will sign and stamp it for you. 
  • Leaving Request Form (please click the name of the document to download it): Before your departure from Istanbul, you should collect the necessary signatures for "Leaving Request Form" and submit it to the Student Academic Affairs Office along with your ŞEHİR Student ID Card.


​ERASMUS+ INTERNATIONAL CREDIT MOBILITY (ICM)

​​​Grants
ICM with Grant Option
Students may be awarded an Erasmus+ ICM grant to help cover their living expenses during their mobility period. Grant payment is subject to the amount of applications received and availability of funds from the Turkish National Agency. Please note that Erasmus grants are only contribution, meaning may not suffice for all your expenses and students are responsible for their own travelling costs and living expenses during the exchange. 
In addition to the Erasmus+ ICM individual grant, selected students for Erasmus+ ICM grant receive travel support based on the distance between home university and the host university.

Total amount you receive is calculated on the basis of months and days you actually spend in exchange. 

The grant is usually paid in two instalments:  
  • The first installment (80% of the total amount and total travel support) is paid within 45 days of signing the mobility grant agreement which has to be signed by student and ŞEHİR.
  • The remaining 20% is paid after the participant returns and upon proper delivery of all the required final mobility documents. This second installment will not be paid until all the required documents are submitted.

ICM without Grant Option 
Students who are entitled to receive an Erasmus+ ICM grant may abandon their right to receiving the grant or eligible applicants may benefit from ICM study mobility through “without grant option” by answering the relevant question on the online application form or by declaring to the International Relations Office that they want to use this right after the announcement of results. 

Erasmus students -whether or not they receive an Erasmus grant- are exempted from paying fees for tuition, registration, examinations and access to laboratory and library facilities at the host institution.

Additional Grant Opportunity for Students with Special Needs
Additional grants are available for students with special needs who wish to participate in Erasmus+ ICM programme and where participation would not be possible without extra financial support. In order to learn more about additional grant opportunities for students with special needs, please get in contact with International Relations Office.​

  • Euro Bank Account: Students should open a EURO bank account (at Halkbank if possible) and send the bank account details to the International Relations Office. 
  • Grant Agreement: The grant agreement is signed by ŞEHİR and the student before the beginning of the mobility. The grant agreement states the total amount of the Erasmus+ grant and travel support which depend on the period of mobility and distance between two countries.

​​​During the Mobility

  • Mobility Tool Report: At the end of your mobility period, you will receive an e-mail from European Commission about your Erasmus+ staff mobility. Please complete the survey within 30 days after your departure from Turkey. 
  • Copy of Passport (Entry and Exit Stamps)


FREE MOVER

International guest students can also apply to study at İstanbul Şehir University as a free-mover student, if there is no formal student exchange agreement between the home university and ŞEHİR. Students who apply as a free-mover should have a confirmation from their home university regarding their study abroad activities and follow the application steps listed at the Erasmus+ Incoming Student Mobility - How to Apply section.

​ERASMUS+ STUDENT MOBILITY FOR TRAINEESHIP 

Under Learning Mobility of Individuals (Key Action 1), students at higher education institutions holding a valid Erasmus Charter for Higher Education (ECHE) can spend an internship period between 2 months and 12 months in an enterprise or organization in another programme country to develop hands on work experience in the occupational field relevant to their study area. ​

As part of the online application you must complete, scan and upload the below required documents: 
  • A document that shows an English proficiency of min. B1 level. (This document can be an internationally recognized exam result or a statement issued by the home university.)

  • Learning Agreement for Traineeships: The purpose of the Learning Agreement is to provide a transparent and efficient preparation of the traineeship period abroad and to ensure that the trainee will receive recognition in his/her degree for the traineeship successfully completed abroad.
  • Student Visa: You should apply to student visa for Erasmus Traineeship. Please don’t forget to send a copy of it to International Relations Office.
  • Comprehensive Travel Health Insurance:  Please be careful that this is not standard ‘’Travel Health Insurance’’ but ‘’Comprehensive Travel Health Insurance’’. The insurance should have the health, accident and liability insurance coverages. 
  • Copy of Passport Information Pages
  • One Passport Sized Photo – in jpg format

During your stay at ŞEHİR, you will be required to apply for Residence Permit.
