Outgoing Student Mobility
​​​​​​​​​​ERASMUS+ STUDENT MOBILITY FOR STUDIES

Student mobility for studies, the centerpiece of the ERASMUS+ programme, enables students at higher education institutions to spend a period of study of between 3 months and 12 months in another participating country. Full-time students at ŞEHİR can apply to Erasmus+ exchange program at a partner university in another participating country. ​

As part of the online application you must complete, scan and upload the below required documents: 
  • Official Transcript (issued by Student Academic Affairs Office, not LMS version)
  • CV (in the Europass format)

​​​Selection Procedure
Eligibility Criteria
Undergraduate and graduate full-time students of ŞEHİR can be eligible to benefit from Erasmus study mobility as long as they meet the below conditions: 
  • ​Undergraduate students must have at least 2.50 / 4.00 cumulative GPA and graduate students must have at least 3.00 / 4.00 cumulative GPA
  • The students who benefited from Erasmus study or placement mobility before can also apply to this call. However students have to make sure that the total length of mobility, with or without grant, at each level (undergraduate or graduate) -no matter the type of mobility- should not exceed 12 months.
IMPORTANT NOTE: Failure to take SELT or obtaining a score below 65 will result in TERMINATION OF THE APPLICATION PROCESS.

Evaluation of Applications
  • ​Academic Performance (CGPA): 50%
  • Language Proficiency (SELT): 50%
  • Previous participation in the Erasmus Programme within current study level: -10 points (out of 100 for each participation in Erasmus mobility for studies or traineeships in the same study level) 
  • Disadvantaged students (The statement from a doctor or other relevant authority confirming the special needs should be submitted to the International Relations Office during the application period): +10 points 
  • Participation in Erasmus programme in the country of nationality: - 10 points 

Erasmus Commission may apply the principle of “departmental quotas” as it will be announced on the call for each mobility period.

Please note that being selected for Erasmus student exchange at ŞEHİR does not mean that you will do the exchange mobility for sure. After you are nominated by the International Relations Office to the partner university, you will need to apply to the university planned for exchange study directly and wait for your acceptance letter. The International Relations Office will be of assistance during the process.

If you withdraw from the Erasmus exchange after being selected by İstanbul Şehir University and nominated to the partner university, your application for another Erasmus exchange will be evaluated only after evaluation of the other student applications.

​​​Grants
Erasmus+ with Grant Option
Students may be awarded an Erasmus grant to help cover their living expenses during their mobility period. Grant payment is subject to the amount of applications received, potential destination of the applicants and availability of funds from the Turkish National Agency. Please note that Erasmus grants are only contribution, meaning may not suffice for all your expenses and students are responsible for their own travelling costs and living expenses during the exchange.

Amount of monthly grants is announced by Turkish National Agency according to the cost of living in the country of destination, grouped in three categories:

Total amount you receive is calculated on the basis of months and days you actually spend in exchange.

The grant is usually paid in two instalments:
  • ​The first installment (80% of the total amount) is paid within 45 days of signing the mobility grant agreement which has to be signed by student and ŞEHİR.
  • The remaining 20% is paid after the participant returns and upon proper delivery of all the required final mobility documents. This second installment will not be paid until all the required documents are submitted.
IMPORTANT NOTE: You will not be able to receive remaining 20% of the Erasmus grant if you cannot receive satisfactory marks in 2/3 of the courses that you take at the host (partner) university.

The same student may receive grants for mobility periods totaling up to 12 months maximum per each cycle of study, independently from the number and type of mobility activities. Prior experience under LLP-Erasmus Programme counts towards the 12 months per study cycle.

Erasmus+ without Grant Option
Students who are entitled to receive an Erasmus grant may abandon their right to receiving the grant or eligible applicants may benefit from Erasmus study mobility through “without grant option” by answering the relevant question on the online application form or by declaring to the International Office that they want to use this right after the announcement of results.
Erasmus students -whether or not they receive an ERASMUS grant- are exempted from paying fees for tuition, registration, examinations and access to laboratory and library facilities at the host institution.

Additional Grant Opportunity for Students with Special Needs
Additional grants are available for students with special needs who wish to participate in Erasmus+ programme and where participation would not be possible without extra financial support. In order to learn more about additional grant opportunities for students with special needs, please get in contact with International Relations Office.​

​​​Before the Mobility
Nomination and Application to the Host University
The first contact between the selected student and the host university is made by ŞEHİR International Relations Office after the selection process and an e-mail regarding selected student’s contact information is sent to the responsible person at the host university.

After the nomination e-mail sent by International Relational Relations Office at ŞEHİR, the host university sends the student an e-mail with necessary instructions about the application process to the host university.

Required Documents
Before the mobility period, participants should follow the steps listed below and submit the necessary documents to the International Relations Office. Please be aware that a majority of this paperwork will require a signature and stamp from a relevant departmental or institutional coordinator either at ŞEHİR or at your host university. Therefore, it is important that you allow yourself the appropriate time to complete the paperwork. (Please click the title of the document to download it):
  • Learning Agreement for Studies: The Learning Agreement for studies (LA) is a document that indicates the precise courses that the student will be studying and needs to be approved by the student, the sending and the receiving institution. According to the Turkish National Agency’s regulations, the student should take at least 30 ECTS for a semester (for one year=60 ECTS) at the host university.
Please do not forget that without a fully signed learning agreement you cannot go abroad for Erasmus+ programme and it is your responsibility to complete the signatures. 
  • Letter of Permission​: As soon as you complete your LA, prepare your “Letter of Permission” and submit both your LA and Letter of Permission to the Faculty Secretary. This part is vital for your registration to ŞEHİR system as an “Exchange Student” and recognition of the courses you take in exchange at ŞEHİR.
  • Student Visa: You should apply to student visa as soon as you get your acceptance from the host university. If you need a letter from ŞEHİR, please let us know, we will prepare it for you before your visa appointment. Once you get your visa, please don’t forget to send a copy of it to International Relations Office.
  • Student Travel Health Insurance: Please be careful that this is not standard ‘’Travel Health Insurance’’ but ‘’Student Travel Health Insurance’’ You can buy the required insurance from any of the below listed companies:

        • AXA Student Travel Health Insurance
IMPORTANT NOTE: Students who will participate in Erasmus+ programme in Germany or Czechia can use their SGK Health Insurance by getting approved TR/AT 11 (for Germany) and TR/CZ 111 (for Czechia) documents from SGK in Turkey. In order to apply for these documents, you will need to submit a confirmation letter to SGK in Turkey. For the confirmation letter regarding your Erasmus+ participation, please contact us through erasmus@sehir.edu.tr 
  • Euro Bank Account: Students should open a EURO bank account at Halkbank and send the bank account details to the International Relations Office. The bank details we require to pay your grant must be Halkbank euro bank account.
  • Grant Agreement: The grant agreement is signed by ŞEHİR and the student before the beginning of the mobility. Original signatures are used, and it is not possible to use digital signatures for grant agreement. The grant agreement states the total amount of the Erasmus+ grant which depends on the period of mobility and the group of the hosting country.​
 
Online Linguistic Support (OLS)
  • Online Language Assessments: Erasmus+ participants must take the assessment twice — before and at the end of their mobility period — in order to monitor their progress in the language of mobility. The online test assesses participants' language skills - listening, reading and writing - according to the Common European Framework of Reference for Languages (CEFR). Students must complete the First Language Assessment before the mobility to assess their language competences. For the students who will participate in Erasmus+ programme, taking the OLS language assessment before their departure is a pre-requisite.
  • Online Language Courses: After taking the first language assessment, participants will have the opportunity to take language courses for free.

​​​During the Mobility

During your stay at the host university you can change your courses on the Learning Agreement by filling the During the Mobility Section of the Learning Agreement. If you would like to change your courses, please follow the steps listed below: 

The students who participate in Erasmus+ in the fall semester, have the right to extend their mobility period to spring semester as well. If you would like to extend your stay to spring semester, please follow the steps listed below: 
  • Contact the Departmental Coordinator at ŞEHİR and get his/her permission to prolong your stay 
  • Ask to the International Office at the host university and get the confirmation from them, and send it to the International Relations Office at ŞEHİR.


​​​After the Mobility
In order to finalize the Erasmus mobilities, returned students should submit the following documents to the International Relations Office (please click the name of the document to download it):
  • After the Mobility Section of Learning Agreement signed and stamped by the host university. 
  • Confirmation of Stay​: According to the Erasmus+ regulations, the actual duration of your mobility period has to be confirmed by a certificate. 
  • Transcript of Records: In order to transfer your credits to ŞEHİR, you need to submit the copy of your Transcript of Records to the Faculty Secretary at ŞEHİR.  
  • Mobility Tool Final Report: At the end of your mobility period, you will receive an e-mail from European Commission about your Erasmus+ study mobility. Please complete the survey within 30 days after your arrival to Turkey. 
  • Online Language Test (OLS): At the end of your mobility period, you will be requested to take a second language assessment to assess the progress made.
  • Copy of Passport (Entry and Exit Stamps)

ERASMUS+ INTERNATIONAL CREDIT MOBILITY (ICM)

International Credit Mobility (ICM) funds short term student and staff mobility between European and Partner Countries on the basis of inter-institutional agreements.
Within this programme, students and doctoral candidates are able to study abroad for a period of three months (or one academic term or trimester), up to a maximum of 12 months in each study cycle and may benefit from an Erasmus+ grant.

İstanbul Şehir University has been awarded with scholarships under the ICM therefore, students and staff from our partner universities have the opportunity to fund their mobilities to our institution for the academic years of 2016/17 and 2017/18.

According to the Erasmus+ International Credit Mobility regulations, undergraduate and master students who wish to study in Mexico, Kazakhstan and Colombia within the scope of International Credit Mobility are not eligible to apply. Only PhD students can apply to study in these countries within the International Credit Mobility. 

IIMPORTANT NOTE: Please kindly note that you cannot apply for International Credit Mobility and regular Erasmus+ Student Mobility for Studies at the same time. Each programme has different application periods and procedures.

ERASMUS+ STUDENT MOBILITY FOR TRAINEESHIP

Under Learning Mobility of Individuals (Key Action 1), students at higher education institutions holding a valid Erasmus Charter for Higher Education (ECHE) can spend an internship period between 2 months and 12 months in an enterprise or organization in another programme country to develop hands on work experience in the occupational field relevant to their study area.
The scope of the enterprise or the organization where a student makes internship should be directly related to study area of the student and contribute her/him by providing practical work experience. In this regard, Erasmus student mobility for traineeship cannot be used for research assignments and analysis purposes for the study area.

Undergraduate and graduate students of ŞEHİR can be eligible to benefit from Erasmus traineeship (internship) mobility as long as they meet the below conditions and submit their applications by the deadline stated on this call:
  • ​The applicants must have arranged a full-time internship (35-40 hours per week) at an approved company/organization in one of the programme countries.
  • Recent higher education graduates may participate in Erasmus traineeship mobility as long as they apply before they graduate and must carry out and complete their traineeship abroad within one year of obtaining their graduation. 
  • The students who benefited from Erasmus study or placement mobility before can also apply to this call. However students have to make sure that the total length of mobility at each level (undergraduate or graduate) -no matter the type of mobility- should not exceed 12 months. As different from Life Long Learning (LLP) Erasmus Programme, a student who benefited from Erasmus placement mobility before can apply for the same mobility at the graduate level.
  • Undergraduate students must have at least 2.50 / 4.00 cumulative GPA and graduate students must have at least 3.00 / 4.00 cumulative GPA in order to be eligible to benefit from the Erasmus grant.

Students who are entitled to receive an Erasmus grant may abandon their right to receiving the grant or eligible applicants may benefit from Erasmus study mobility through “without grant option” by answering the relevant question on the online application form or by declaring to the International Office that they want to use this right after the announcement of results.

Additional Grant Opportunity for Students with Special Needs
Additional grants are available for students with special needs who wish to participate in Erasmus+ programme and where participation would not be possible without extra financial support. In order to learn more about additional grant opportunities for students with special needs, please get in contact with International Relations Office.

Before the Mobility
Before the mobility period, participants should follow the steps listed below and submit the necessary documents to the International Relations Office. Please be aware that a majority of this paperwork will require a signature and stamp from a relevant departmental or institutional coordinator either at ŞEHİR or at your host university. Therefore, it is important that you allow yourself the appropriate time to complete the paperwork. (Please click the title of the document to download it):
  • Learning Agreement for Traineeship: The purpose of the Learning Agreement is to provide a transparent and efficient preparation of the traineeship period abroad and to ensure that the trainee will receive recognition in his/her degree for the traineeship successfully completed abroad.
Please do not forget that without a fully signed learning agreement you cannot go abroad for Erasmus+ programme and it is your responsibility to complete the signatures.  
  • Letter of Permission: As soon as you complete your LA, prepare your “Letter of Permission” and submit both your LA and Letter of Permission to the Faculty Secretary. This part is vital for your registration to ŞEHİR system as an “Exchange Student” and recognition of the courses you take in exchange at ŞEHİR. 
  • Student Visa: You should apply to student visa for Erasmus Traineeship. If you need a letter from ŞEHİR, please let us know, we will prepare it for you before your visa appointment. Once you get your visa, please don’t forget to send a copy of it to International Relations Office.
  • Comprehensive Travel Health Insurance: Please be careful that this is not standard "Travel Health Insurance" but "Comprehensive Travel Health Insurance". The insurance should have the health, accident and liability insurance coverages. You can buy the required insurance from any of the below listed companies:
        • ​​​​AIG
        • AXA Comprehensive Travel Health Insurance
  • ​Euro Bank Account: Students should open a EURO bank account at Halkbank and send the bank account details to the International Relations Office. The bank details we require to pay your grant must be Halkbank euro bank account. 
  • Grant Agreement: The grant agreement is signed by ŞEHİR and the student before the beginning of the mobility. Original signatures are used, and it is not possible to use digital signatures for grant agreement. The grant agreement states the total amount of the Erasmus+ grant which depends on the period of mobility and the group of the hosting country. 
  • Online Language Assessments: Erasmus+ participants must take the assessment twice — before and at the end of their mobility period — in order to monitor their progress in the language of mobility. The online test assesses participants' language skills - listening, reading and writing - according to the Common European Framework of Reference for Languages (CEFR). Students must complete the First Language Assessment before the mobility to assess their language competences. For the students who will participate in Erasmus+ programme, taking the OLS language assessment before their departure is a pre-requisite. 
  • Online Language Courses: After taking the first language assessment, participants will have the opportunity to take language courses for free. For more information regarding Online Linguistic Support, please consult the Erasmus+ OLS webpage.

​​​During the Mobility
During your stay at the host institution you may change some of your task/responsibilities or the duration of your stay on the Learning Agreement by filling the During the Mobility Section of the Learning Agreement. If you would like to make any changes, please follow the steps listed below: 
  • Download the During the Mobility Section of Learning Agreement by clicking the name of the document. 
  • Consult your Departmental Coordinator at ŞEHİR regarding changes and have the document signed by him/her. And then, send it to the International Relations Office through erasmus@sehir.edu.tr. 

The students who participate in Erasmus+ Traineeship Mobility, have the right to extend their mobility period up to 12 months (if applicable). If you would like to extend your stay, please follow the steps listed below: 
  • ​Contact the Departmental Coordinator at ŞEHİR and get his/her permission to prolong your stay
  • Get the confirmation from host institution, and send it to the International Relations Office at ŞEHİR.

​​​After the Mobility

​In order to finalize the Erasmus mobilities, returned students should submit the following documents to the International Relations Office (please click the name of the document to download it):
  • After the Mobility Section of Learning Agreement signed and stamped by the host institution. 
  • Confirmation of Stay: According to the Erasmus+ regulations, the actual duration of your mobility period has to be confirmed by a certificate. 
  • Mobility Tool Final Report: At the end of your mobility period, you will receive an e-mail from European Commission about your Erasmus+ traineeship mobility. Please complete the survey within 30 days after your arrival to Turkey. 
  • Online Language Test (OLS): At the end of your mobility period, you will be requested to take a second language assessment to assess the progress made.
  • Copy of Passport (Entry and Exit Stamps)




​EUROPEAN INTERNSHIP CONSORTIA

Erasmus+ Consortia means a group of higher education institutions with Erasmus Charter for Higher Education (ECHE) and other organizations (companies, associations, chambers of commerce, municipalities, foundations, etc.) coming together to offer more and better Erasmus traineeship opportunities to the students of  higher education. İstanbul Şehir University has become part of such a consortium, namely European Internship Consortium (Avrupa Staj Konsorsiyumu) in order to be able to increase quantity and quality of traineeship opportunities in Europe for its students.

European Internship Consortia has been established by five higher education institutions, namely İstanbul Şehir University, İstanbul Kültür University (as the coordinator), Üsküdar University, Kadir Has University, Sabancı University, and three non-governmental organizations, namely İstanbul Chambers of Industry (ISO), Turkey Informatics Foundation (TBV) and Turkish Cultural Foundation - AFS (TKV-AFS). The Consortia operates within the framework of Erasmus+ Program, Key Action 1 - Learning Mobility of Individuals, supported by the European Commission and the Republic of Turkey.

In standard Erasmus mobility for student traineeship applications, students must have submitted an invitation letter from the institution they will make their internship together with their application.

For internship applications through an Erasmus+ Consortium, students do not have to find an internship place prior to the application. In other words, students can apply without arranging a place for themselves in advance. The consortium will match the selected students with the available spots and final placements will be decided according to the demands of the enterprise / organization. The Consortium does not guarantee to find a place due to the fact that requirements of the enterprise / organization from the trainee for the relevant position will be the determining factor for the final decision. Those who are selected by the enterprise / organization may be called for an interview.

Students may also apply with an invitation letter if they have already found a place for themselves. In this case, the Consortium will decide about the suitability of the place for the student. If positive, those students will have priority in the allocation of available grant.

​​​How to Apply
Interested students should fill the online application form at the Consortia’s website and submit the following documents to ŞEHİR International Relations Office (IRO) before the application. 

ŞEHİR Academic Calendar does not include the application period for European Internship Consortia- Erasmus+ Traineeship Mobility. However, each academic year, ŞEHİR International Relations Office publishes the relevant call at the Erasmus+ and Exchange Programs Calls section on its webpage.  

Requested documents for application are:
  • Application Form (You need to print out the online application form before you submit it through the system and complete the required signatures before submitting it to the IRO. )
  • Official Transcript (it should be taken from the Student Affairs not from LMS)
  • Language proficiency test score (SELT score) *
  • Europass CV 
  • Photo
